MCA V3 AOC-4 Validation Errors: The Complete Fix Guide

With MCA21 V2 fully decommissioned since 30 June 2026, every annual filing now runs through the V3 portal - and if you've filed an AOC-4 recently, you already know the portal's error messages explain very little. This guide decodes the most common V3 validation failures and gives you the practical fix for each.

1. 'Prefill data not available' after entering CIN

V3 pulls company master data from its own database, which syncs from ROC records with a lag. For recently incorporated companies or companies with recent master-data changes, prefill can lag 24-48 hours.

  • Wait 24-48 hours after any master data change before attempting the filing.
  • Verify the company's master data on the public 'View Company Master Data' page first - if it's wrong there, fix that before filing.
  • Clear browser cache and cookies for mca.gov.in; stale sessions are a known cause of blank prefills.

2. Validation errors on upload despite correct data

The most frustrating class of V3 errors: the form validates locally, then fails on submission. The usual culprits are version mismatch (the portal updated the form template after you downloaded it) and Excel-based data imports with formatting the parser rejects.

  • Always download a fresh form template the same day you file - templates change without announcement.
  • In Excel imports, remove all special characters, merged cells and formulas; paste values only.
  • Dates must match the portal's expected format exactly - a dd/mm vs mm/dd mismatch fails silently until submission.

3. SRN not generated or payment stuck

If payment completes but no SRN appears, do not refile immediately - you risk duplicate filings and a refund process that takes weeks. Check 'My Application' after 2-4 hours; SRNs often appear delayed during peak load. If it's still missing after 24 hours, raise a helpdesk ticket with your payment reference before any refiling attempt.

4. DSC errors: 'Certificate not registered' or signing failures

  • V3 accepts Class 3 DSCs only - Class 2 certificates fail with unhelpful errors.
  • The DSC must be registered against the director's/professional's role on V3 specifically; V2 registrations did not carry over.
  • Use the embedded signing utility version the portal specifies - outdated emBridge/emSigner versions are the top cause of signing failures.

5. XBRL AOC-4: taxonomy and PDF generation issues

For XBRL filers, validation errors usually trace to using an outdated taxonomy or tagging mismatches between financial statements and the filed schema. Post-submission PDF generation failures are a known portal defect - if your SRN exists and payment succeeded, the filing is valid even if the PDF won't render; keep the challan and acknowledgement as proof.

The bigger problem: diagnosing these at deadline time

Every one of these errors is fixable in minutes once diagnosed - the expensive part is the diagnosis, usually happening at 11 pm on a due date. That's exactly what Regno's MCA Notice Decoder automates: upload the rejection, get the failing field, the cause in plain English, and the refiling steps.

Regno decodes MCA V3 rejections into exact fix steps - and its ROC calendar makes sure the refiling happens on time. Start a free 14-day trial at regno.in.
